Job Summary
The Clerical Assistant reports to Human Resources Manager and will be located in Camarillo, CA. This position will be responsible for supporting Compliance Manager and CFO.
Essential Functions

  • Prepares reports and presentations for various internal and external meetings and discreetly manages sensitive and confidential data where applicable.
  • Assists with the internal improvements to or creation of Johanson systems when necessary.
  • Performs electronic and hard copy file management to meet compliance regulations.
  • Handles confidential and non-routine information and explains policies when necessary.
  • Works independently and within a team on special nonrecurring and ongoing projects.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Understands the internal departmental workflow and organization and coordinates with facilitates as necessary.
  • Works closely with various departments to ensure compliance on all necessary documentation and applicable written requests.
  • Provides timely feedback/support to various departments for queries to the compliance systems.
Key Responsibilities
  • Has full responsibility for interpretive & applying general departmental policy & for establishing procedures.
  • Microsoft Excel proficiency utilizing pivot tables and creating macros is a key requirement.
  • Determine best methodology to answer inquires and respond promptly and professionally.
  • Develop, capture, coordinate, manage and maintain daily, weekly, and monthly reports including calendar for executive team.
  • Use prudence to settle matters independently within scope of responsibility or consult with executive management as appropriate.
Knowlege, Skills & Abilities
  • Ability to use PowerPoint, Word, and Excel with high competence and ability to learn and utilize other software programs, technologies, digital and mobile communication tools.
  • Proven track record of successfully working autonomously, while enjoying the opportunity to work on a team-based tasks and projects
  • Strong ability to effectively prioritize competing requests, while keeping lines of communication open and the executive team satisfied
  • Excellent written, verbal and presentation skills

  • Must have high level confidentiality on product and employee issues.
  • As the position involves handling confidential information, the compliance manager is expected to maintain proper security for all documents and follow privacy procedures at all times.
Work Environment
This job operates in an open floor layout office and manufacturing/ production environment.

Position Type/Expected hours of work
This is a full-time non-exempt position. Forty or more (40+) hours within a workweek.
Travel
No travel is expected for this position.
Required Education and Experience
  • Associate’s Degree. Preferable in Business Administration.
  • Minimum 2 years of related experience.
  • Microsoft Excel proficiency utilizing pivot tables and creating macros is a key requirement.

  • Strong knowledge of Microsoft Office 365.
  • Ability to read and understand lengthy detailed legal/technical documentation
  • Excellent organizational skills and the ability to handle multiple priorities and projects
  • Extremely detail oriented
  • Energetic self-starter with excellent time management and interpersonal/communication skills
  • Must pass working knowledge of ITAR requirements
Preferred Education and Experience
Bachelor’s Degree in Business Administration, or similar is strongly preferred
